Who Do You Contact After the Booking Is Confirmed?

You keep the same point of contact you had before booking — confirmation doesn’t hand you off to someone new. We respond within 24 hours, through one point of contact, for every message between booking and the wedding day, so a question about timing or a last-minute change doesn’t get lost between different people.

That single thread covers formation changes, set list updates, timeline shifts, and day-of questions. If your venue or couple has updates closer to the date, you send them to the same contact rather than starting a new conversation.

How Do Venue or Timeline Changes Get Communicated as the Date Approaches?

You send the update as soon as you have it, and we confirm back in writing what’s changed on our end. Weddings shift — a ceremony moves indoors, a reception start time slides by thirty minutes, a venue swaps the garden for the beach. Each of those changes affects where the musicians set up and when, so the update needs to reach us directly, not get relayed secondhand through multiple parties.

We ask for the final run-of-show and venue details with enough lead time to confirm the formation, repertoire, and setup plan match the day as it now stands. If a change comes in close to the date, tell us as soon as it’s confirmed on your side — we’ll tell you immediately if anything about the setup needs to adjust.

What Does Rehearsal or Soundcheck Coordination Look Like?

Our musicians don’t require a separate rehearsal visit — they arrive on the wedding day with the arrangement already prepared and run their own soundcheck during setup. For most ceremonies and receptions, that’s sufficient: the formation and repertoire are confirmed in advance, and a flat surface with adequate time before guests arrive is what they need to be ready.

If your venue has unusual acoustics or a layout that benefits from an earlier walkthrough, raise it when you confirm the booking so we can plan for it. Custom arrangements — a couple’s own song reworked for the formation — are finalized before the wedding day itself, not during setup, so nothing about the music is being decided on site.

Who Manages the Run-of-Show on the Wedding Day?

You hand off the run-of-show once, in advance, and our musicians follow it without needing you to manage them in real time. We confirm cues — processional start, vow exchange, recessional, reception entrances — directly with you ahead of the day, then execute from that confirmed sheet.

On site, that means:

• Musicians arrive ahead of the schedule you’ve agreed on, not at the call time itself
• Setup is finished before the first guest is seated
• Cues are followed from the confirmed run-of-show, without checking back with you mid-ceremony
• Any last-second adjustment (a delayed processional, a changed cue) goes through your point of contact, who relays it to the musicians directly

This is what lets you focus on the rest of the day instead of standing next to the ensemble.

What Do Outdoor or Non-Standard Venues Need From Your Team?

Cliffside, beach, and garden setups are routine for us, and what we need from your team is minimal: shade for the musicians and a flat, stable surface for the instruments. Confirm the specific spot — terrace, lawn, sand — when you share the venue details, and we’ll tell you ahead of time if anything beyond those two basics is needed for that location.
